Privacy Policy

Lucidoc is an administrative assistant designed to help users understand emails and documents, identify important information, detect actions and deadlines, and organize administrative tasks.

Lucidoc uses artificial intelligence to analyze information provided or connected by the user.

The service is intended for users aged 18 or older.

Depending on how you use Lucidoc, we may process:

• your name and email address;
• account and authentication information;
• emails that you explicitly authorize Lucidoc to access through connected services such as Gmail;
• documents, images, or files that you submit for analysis;
• information extracted from emails and documents, including dates, deadlines, organizations, administrative actions, events, and summaries;
• tasks and reminders generated from analyzed content;
• technical information necessary to operate and secure the service.

Lucidoc currently does not use third-party advertising or analytics services to track users for advertising purposes.

Lucidoc allows users to connect their Google account and Gmail mailbox.

Lucidoc requests read-only access to Gmail data required to provide its email analysis functionality.

Lucidoc uses Gmail data only to provide user-facing administrative assistance, including:

• identifying administrative emails;
• analyzing their content;
• identifying actions that may be required;
• identifying deadlines and important dates;
• generating summaries;
• creating suggested tasks and administrative actions.

Lucidoc does not use Gmail access to send, modify, or delete emails.

Lucidoc does not sell Google user data.

Lucidoc does not use Google user data for advertising.

Lucidoc does not use Google user data to build advertising profiles.

Lucidoc does not use Google user data to train general-purpose artificial intelligence or machine-learning models.

Lucidoc’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Lucidoc only processes and stores messages you actively sync through the service — this is not a full copy of your Gmail mailbox.

For each message Lucidoc analyzes, it currently stores the message’s text content (sender, date, subject, and body) together with the structured information derived from analyzing it, including:

• summaries;
• identified actions;
• deadlines;
• tasks;
• relevant dates;
• source references;
• structured information extracted from the message.

This lets Lucidoc show you the original message alongside its analysis. See Section 10 for how long this is kept and Section 11 for how to request deletion.

Users may provide documents or images to Lucidoc for analysis.

Uploaded documents and photographs are currently retained after processing, together with the resulting analysis, so you can view the original file again from within Lucidoc. Lucidoc does not currently offer a way to delete an individual uploaded file on its own, separately from your account — see Section 11 for how to request deletion.

Users should not rely on Lucidoc as a document storage or backup service.

Lucidoc uses artificial intelligence to analyze emails and documents.

For this purpose, information necessary to perform an analysis may be transmitted to Anthropic, the provider of the Claude API used by Lucidoc.

Only information required to provide the requested analysis should be transmitted for this purpose.

Anthropic acts as a technology provider involved in delivering Lucidoc’s AI functionality.

Lucidoc does not authorize the use of users’ Gmail data for training general-purpose AI models.

AI-generated analyses may contain errors. Users should verify important information, particularly deadlines, financial obligations, legal matters, healthcare-related information, and other consequential administrative decisions.

Lucidoc’s application infrastructure, including its frontend, backend, and database, is currently hosted using infrastructure provided by Contabo.

Lucidoc’s primary application infrastructure is hosted in Germany.

Information may nevertheless be processed by third-party service providers where necessary to provide specific Lucidoc functionality, including AI processing.

We therefore do not represent that all data processing occurs exclusively on Lucidoc’s own servers or exclusively in Germany.

We use service providers where necessary to operate Lucidoc.

These currently include:

• Contabo — infrastructure and hosting.
• Anthropic — artificial intelligence processing through the Claude API.
• Google — authentication and Gmail connectivity where users choose to connect their Google account.

We may add or replace service providers as Lucidoc evolves. This Privacy Policy will be updated where such changes materially affect the processing of personal data.

We process personal data where necessary to:

• provide the Lucidoc service requested by the user;
• authenticate users;
• analyze user-provided or user-authorized content;
• generate administrative tasks, summaries, deadlines, and suggested actions;
• maintain and secure the service;
• troubleshoot technical problems;
• comply with applicable legal obligations.

Where required by applicable law, processing may also be based on the user’s consent.

We retain personal data only for as long as reasonably necessary to provide Lucidoc, maintain the user’s account, comply with applicable legal obligations, resolve disputes, and protect the security of the service.

Original uploaded documents, photographs, and the source text of analyzed emails are currently retained together with the resulting analysis for as long as your account exists, unless you request deletion.

Information derived from analyses, and the source content it was derived from, may remain associated with the user’s account until it is deleted or the user requests deletion, subject to applicable legal retention obligations.

As Lucidoc develops, more specific retention periods may be introduced and this Privacy Policy will be updated accordingly.

We will process valid deletion requests subject to applicable legal obligations and any information that we are legally required to retain.

An automated account deletion function may be introduced in the future. Until then, deletion requests are handled through the contact address above.

Users may separately revoke Lucidoc’s access to their Google Account through their Google Account permissions.

We use reasonable technical and organizational measures designed to protect personal data against unauthorized access, loss, misuse, alteration, or disclosure.

However, no internet-based service or data storage system can guarantee absolute security.

Users should therefore avoid submitting information that is not necessary for the administrative task they want Lucidoc to process.

Lucidoc is operated from Switzerland and its primary application infrastructure is currently hosted in Germany.

Some service providers involved in delivering Lucidoc functionality may process information in other jurisdictions.

Where required, we take appropriate measures to protect personal data transferred internationally in accordance with applicable data-protection requirements.

Depending on applicable data-protection law, you may have rights including the right to:

• request access to your personal data;
• request correction of inaccurate personal data;
• request deletion of personal data;
• restrict or object to certain processing;
• request portability of certain personal data;
• withdraw consent where processing is based on consent.

Lucidoc is intended for adults aged 18 and older.

We do not knowingly offer Lucidoc accounts to children under 18.

Users may process administrative documents relating to members of their household, including children, where they have the legal right to do so.

Lucidoc uses automated systems and artificial intelligence to identify information and suggest actions.

These outputs are provided as assistance and may be incomplete or incorrect.

Lucidoc should not be considered a substitute for professional legal, tax, financial, medical, insurance, or other professional advice.

Users remain responsible for reviewing important source documents and verifying consequential actions and deadlines.

We may update this Privacy Policy as Lucidoc evolves or as legal, technical, or regulatory requirements change.

The current version will always be published on the Lucidoc website with its latest revision date.
